SHORT TITLE, EXTENT & COMMENCEMENT
These Terms & Conditions shall be called “Urbntrip – Domestic Tours Terms & Conditions”.
They apply to all bookings made through Urbntrip (the Brand) operated by Prime Vista Holiday, with its registered address at 343, Rafi Ahmed Kidwai Road, Kolkata 700055.
These Terms come into effect from the date of publication on the website (www.urbntrip.com) and remain in force until further amendment.
“Tour” in these Terms refers to any domestic travel package, as Urbntrip is currently providing domestic tours only.
DEFINITIONS
In these Terms, unless the context otherwise requires:
“Client/Guest(s)” means the person(s) named on the booking and/or registration form for a tour.
“Company” means Prime Vista Holiday trading as Urbntrip.
“Package Cost” means the total cost of the tour as detailed in the booking confirmation.
“Booking Amount” means the initial payment made by the guest to confirm the tour (as per our Payment Policy).
“Balance Payment” means the remaining payment due by the guest, before travel commencement.
“Cancellation Charges” means the percentage of Package Cost payable by the guest if they withdraw from the tour (refer to our Cancellation Policy).
“Itinerary” means the schedule of destinations, services and sightseeing as detailed in the tour confirmation.
“Service Providers / Independent Contractors” means hotels, transport, local guides, restaurants, attractions, or any other third-party vendor engaged by the Company for the tour.
BROCHURE / WEBSITE / PACKAGES
All brochures, offers, itineraries, tariff sheets, web pages and communications (including by email or SMS) issued by Urbntrip are subject to modification without prior notice.
Tariffs and itineraries published are indicative and based on current information at time of publication. The Company reserves the right to alter the itinerary, duration, number of nights, tariff, hotels, or any services before departure or even during the tour for reasons beyond its control.
Guests are advised to check the website (www.urbntrip.com) or contact the Company for the latest updates and changes.
BOOKING & ACCEPTANCE
A booking is confirmed only when the Booking Amount is paid, the registration form is completed and accepted by the Company. Payment of the Booking Amount or signature on any booking/registration form constitutes the Guest’s unconditional acceptance of all Terms & Conditions contained herein and all other documents (itinerary, invoice, special conditions) forming part of the contract.
For group bookings, the signature of one representative binds all persons named on the registration/booking form.
All online bookings made via the website are subject to availability and eligibility of seats, hotels, transport etc. The Company uses standard security measures for online payment, but cannot be held responsible for malfunctions of payment gateways, network issues or booking engine failures.
The Booking Amount indicates only the Guest’s intention to participate in the tour. It does not entitle the Guest to any service until full Tariff is paid as per Payment Policy.
PAYMENT POLICY
To confirm a booking, Guests must adhere to the following payment schedule:

Failure to comply with the above payment schedule may result in automatic cancellation of the booking, and cancellation charges will apply as per policy.
All payments must be made in Indian Rupees (INR), through UPI / Net Banking / Card / Wallet / Bank Transfer.
Any increase in government taxes, airline fares, hotel charges, or fuel surcharges prior to travel must be borne by the Guest.
TRAVEL EMI OPTION
Urbntrip offers Travel EMI facility in collaboration with third-party banks/finance partners.
Approval of EMI is strictly subject to the bank’s internal credit policy, verification, and approval process.
Urbntrip has no jurisdiction or control over approval, rejection, processing time, interest calculation, or documentation required by the bank.
If EMI loan is rejected by the bank for any reason, guests must pay the package cost as per the standard Payment Policy above.
Interest, processing fees, mandate setup charges & other bank-imposed charges (if applicable) must be borne by the Guest.
CANCELLATION, REFUND & RESCHEDULING POLICY
CANCELLATION BY GUEST
If the Guest wishes to cancel the tour for any reason (including medical, personal, travel documentation issues, change of plan, etc.), the following Cancellation Charges will apply on the total package cost:

Important Notes
If flight/train tickets have been issued, cancellation will be as per airline/railway rules, and those charges may be fully non-refundable.
In case of No-Show, delayed arrival, failure to join the tour at starting point, or leaving the tour mid-way, no refund will be given for unused services.
RESCHEDULING / DATE CHANGE REQUEST
Any guest requesting change of travel date/plan will be treated as Cancellation + New Booking, and charges will apply as per the cancellation chart.
Rescheduling is subject to availability and updated pricing.
CANCELLATION BY COMPANY
Urbntrip may cancel or modify a tour due to:
Natural calamities
Political disturbances
Strikes / Local Government Orders
Operational or safety reasons
Insufficient group size
In such cases:
The Company shall offer an alternate tour of similar value
ORIssue a Travel Credit valid for 12 months
Cash refund may not apply if third-party services are already paid for.
REFUND TIMEFRAME
Once eligible, refunds are processed within 7–21 working days.
Delay may occur due to bank, payment gateway, or settlement timelines.
Refunds are issued only to the original source account.
HEALTH, SAFETY & TRAVEL RESPONSIBILITIES
Medical Fitness & Understanding Travel Conditions
All Guests are expected to be physically and mentally fit to undertake the tour.
If a Guest has any pre-existing medical condition (such as heart issues, asthma, high blood pressure, recent surgery, pregnancy, disability), it is mandatory to consult a doctor before travel.
The Company shall not be liable for any medical complications suffered during or after the tour.
Carrying Medications
Guests must carry their prescribed medication, doctor’s prescription, and basic personal medical requirements throughout the journey.
Certain remote destinations may have limited medical facilities.
Special Assistance
Urbntrip is not equipped to provide personal care or assistance to Guests for walking support, wheelchair management, lifting, toileting, or feeding.
If such assistance is required, the Guest must travel with a family member or caretaker.
Safety Compliance
Guests must follow tour schedules, instructions of the Tour Manager/Driver, and local guidelines.
Any deviation from planned route, late reporting, delay in assembly time, or refusal to follow instructions may result in missed sightseeing without any refund.
Risk Inherent to Adventure Activities
Activities like boating, trekking, rafting, snorkeling, water sports, paragliding, snow activities, jungle safari, etc., involve inherent risks.
Participation is voluntary and at Guest’s own risk.
The Company is not responsible for accidents, injuries, or losses during such activities.
Alcohol, Smoking & Misconduct
Consumption of alcohol or intoxicants that causes inconvenience or risk to other travelers may result in removal from the tour without refund.
Any form of misbehavior, harassment, offensive conduct, or non-cooperation will not be tolerated.
BAGGAGE, PERSONAL BELONGINGS & LIABILITY
Responsibility for Belongings
Guests are responsible for the safety of their own belongings, including luggage, mobile phones, cameras, cash, jewelry, wallets, and travel documents.
The Company shall not be held responsible for loss, damage, theft, or misplacement of any personal property during the tour.
Hotel Room Safety
Guests must ensure hotel room doors/windows are locked when leaving.
Any damage caused to hotel property (furniture, linen, electronics, walls, etc.) must be compensated by the Guest directly to the hotel authorities.
Transport & Vehicle Use
Vehicle will be used strictly as per itinerary and sightseeing schedule.
Air-conditioning in vehicles may not operate effectively in hilly or high-altitude regions.
Any extra kilometers or personal usage by the Guest shall be chargeable directly to the Guest.
Handling Baggage During Travel
Drivers, porters, and hotel staff may assist, but the responsibility remains with the Guest.
Oversized luggage may be restricted based on vehicle type.
Losses Due to Circumstances Beyond Control
The Company is not liable for:Natural disasters (floods, cyclone, landslides)
Roadblocks, strikes, political unrest
Flight/train delays/cancellations
Closure of sightseeing monuments due to government orders
In such events, itinerary and transportation may be altered, replaced, or upgraded at additional cost borne by the Guest.
Limitation of Liability
The Company acts as an agent between Guests and independent service providers (hotels, airlines, transport, guides).
The Company does not own or operate these services and therefore cannot be held responsible for deficiencies, delays, or service failures caused by them.
Any disputes related to service quality shall be taken up directly with the service provider.
Hotel Room Issues / Replacement
In the event a Guest encounters a genuine and verifiable issue with the allotted hotel room (such as malfunctioning utilities, sanitation concerns, safety-related defects, or any condition deemed unsuitable for stay), the matter must be immediately reported to the Company’s tour representative or support desk along with photographic/video evidence.
Upon confirmation and after consultation with the hotel management, the Company will arrange for a room change or an upgrade, subject to availability and reasonable hotel policy.
Such changes shall be acted upon only when the issue is valid and acknowledged by the hotel.
The Company shall not be liable for compensation, refund, or alternate stay if the hotel denies the request on the basis of non-availability or non-validity of the complaint.
Upgrades or alternate room types provided by the hotel as a goodwill gesture are not guaranteed and are subject to hotel discretion.
GOVERNING LAW, JURISDICTION & FINAL AGREEMENT
GOVERNING LAW
These Terms & Conditions and all matters arising from it shall be governed and interpreted in accordance with the laws of India, without regard to conflict of law principles.
JURISDICTION
All disputes, claims, or legal proceedings arising out of or relating to any booking made with Urbntrip (Prime Vista Holiday) shall be subject to the exclusive jurisdiction of the Courts at Kolkata, West Bengal, India.
No other court or legal forum shall have jurisdiction in any matter whatsoever.
LIMITATION OF CLAIMS
Any complaint regarding services provided must be reported immediately during the tour to allow corrective action.
Claims or disputes raised after the completion of the tour must be submitted in writing to the Company within 7 days of tour end.
Any claims submitted beyond the stipulated time shall be considered void and non-actionable.
FORCE MAJEURE (Events Beyond Control)
The Company shall not be held liable for any failure or delay in performance of obligations arising from circumstances beyond its reasonable control, including but not limited to:
Natural disasters (flood, earthquake, landslide, cyclone)
Political unrest, strikes, riots or civil commotion
Epidemics, pandemics, quarantine or travel restrictions
Transport failures, airport shutdowns, border closures
Government orders or regulatory actions
In such events:
Itinerary changes, service modifications, or cost adjustments may occur.
No refund or compensation shall be applicable for loss of services caused by force majeure.
COMPANY RIGHTS
The Company reserves the right to:
Modify tour itineraries
Change hotels, transport, or service providers
Deny booking or terminate participation in the tour in the interest of safety and discipline
These decisions shall be final and binding on all Guests.
GUEST DECLARATION & ACCEPTANCE
By booking a tour with Urbntrip (Prime Vista Holiday), the Guest acknowledges and confirms that:
They have read, understood, and accepted all Terms & Conditions stated herein.
They agree to abide by all instructions and policies issued by the Company, Tour Leaders, and Local Authorities.
They understand that the Company functions as a coordinator of services provided by third-party hotels, airlines, transport operators, and shall not be held responsible for any service variations beyond direct control.
FINAL AGREEMENT
The booking invoice, itinerary, payment receipt, and these Terms & Conditions together form the entire binding contract between the Guest and Urbntrip (Prime Vista Holiday). No agent, employee, or third party has the authority to modify the terms unless issued in writing by the Company.
